Patient Report Forms (PRF) and Medical Data

Patient Report Forms must be completed in full and emailed to medicalreport@motorsportuk.org.

Licensed Competitors competing at Motorsport UK Permitted Events, and under Motorsport UK Safety Procedures and National Competition Rules are, for these purposes, the contracted clients/customers of Motorsport UK and the Organising Club.

Any personal or sensitive data collected at Motorsport UK Permitted Events, by Motorsport UK signed on Officials and about Motorsport UK Licence holders constitutes Motorsport UK controlled data. Such data is collected and processed lawfully, with the explicit consent of Competitors and in accordance with our safety, regulatory and insurance obligations.

For these purposes, please see below explicit consent in the Competition Licence Application:

11. I hereby consent to the collection, safe-processing and retention of my current and future medical data, obtained by Motorsport UK in pursuance of its obligations as the authorised national sporting authority. For these purposes I additionally consent to the provision to the Chief Medical Officer of Motorsport UK on behalf of Motorsport UK of all material medical information relating to me if I am involved in any serious incident while competing to include the nature of any injuries and any treatment given at or following an Event. I further consent to such data in wholly anonymised form being passed to FIA for the limited purposes of the World Accident Database and the enhancement of safety in motorsport.

Further, even without reliance on explicit consent obtained through the Licence Application, Motorsport UK has a clear and lawful basis for obtaining and processing this information under the UK GDPR and the Data Protection Act 2018 as follows:

For special category data (Article 9 UK GDPR)

  • Article 9(2)(g) – Substantial public interest (Schedule 1, Part 2, paragraph 6, DPA 2018):
    Processing necessary for the exercise of functions conferred by statute in connection with public safety and regulation.
  • Article 9(2)(f) – Legal claims: Processing necessary for the establishment, exercise, or defence of legal claims (including insurance and liability matters).

Accordingly, Motorsport UK is the Data Controller for this information and processes it only for legitimate and proportionate purposes connected to its statutory and regulatory functions as the National Sporting Authority.
