We are looking for two enthusiastic and organised Club & Volunteer Administrators to join our Club & Volunteer Development Team:

• 1 x Permanent, Full-Time Role
• 1 x 12-Month Fixed-Term Contract (starting July)

The Club & Volunteer Development Team is at the heart of supporting and developing the motorsport community. We promote quality, continuous improvement, teamwork, and high performance by coordinating learning and development opportunities for volunteer Marshals and Officials, as well as supporting Regions and Clubs across the UK.

The Club & Volunteer Administrator plays a key role in supporting the development and day-to-day engagement of Clubs and Volunteers. The role contributes to initiatives that strengthen capability, sustainability, and effectiveness, while also providing responsive support and guidance to ensure a smooth and positive experience. Through this, the position helps ensure that motorsport remains safe, fair, inclusive, and enjoyable for all.

Primary Objectives

The primary objectives associated with this role will be:

• Provide general administrative and day-to-day support to the Club & Volunteer Development Team, ensuring effective communication and smooth handling of enquiries.
• Offer clear guidance and support to Clubs and Volunteers across a range of processes, helping to deliver a positive and consistent experience.
• Contribute to the planning and delivery of initiatives and campaigns that support recruitment, engagement, and development, aligned with organisational priorities.
• Assist in maintaining resources, records, and systems, ensuring information is accurate, accessible, and up to date.
• Support the coordination and delivery of events, training, and activities, including communications and logistical arrangements.

Key Responsibilities

In addition to the core objectives listed above, the Club & Volunteer Administrator will be responsible for:

• Provide administrative and operational support across a wide range of Club, Volunteer and StreetCar activities, helping to ensure programmes, events, and initiatives are well organised and effectively delivered.
• Support the coordination of communications, outputs and engagement activities, including newsletters, bulletins, outreach and community updates.
• Assist in maintaining accurate records, data, and reporting across workstreams to support insight, decision-making and continuous improvement.
• Contribute to the delivery of events, training, meetings and forums by supporting scheduling, logistics, documentation and stakeholder engagement.
• Provide support across key processes, including applications, renewals, awards, accreditations and funding activity, ensuring a smooth and consistent experience.
• Work collaboratively with internal teams, Clubs, Volunteers and external stakeholders to support engagement, development and participation across the motorsport community.
• Maintain and update guidance, resources and systems to ensure information is accurate, accessible and aligned with organisational priorities.
• Provide flexible administrative support across the team, contributing to a wide range of activities as required.

The Club & Volunteer Development Team aims to foster a culture of quality, continuous improvement, teamwork, and high performance by overseeing all learning and development matters relating to volunteer Marshals and Officials, Regions, and Clubs.

The Club & Volunteer Programme Manager supports the delivery of development initiatives that strengthen the capability, sustainability, and effectiveness of Clubs and Volunteers, ensuring that motorsport remains safe, fair, inclusive, and enjoyable for all.

Primary Objectives

The primary objectives associated with this role will be:

• Lead the continuous development and enhancement of Officials and Marshals pathways in line with Vision 2030, providing structured support from initial entry through to progression and retention.
• Contribute to the design, delivery, and continual improvement of training programmes that support the development of Motorsport UK clubs, volunteers, and wider stakeholders.
• Collaborate between the development and operational teams, ensuring clear alignment, shared understanding, and effective end‑to‑end delivery.
• Support and contribute to the development and integration of a comprehensive Club Toolkit, providing clubs with high‑quality resources, guidance and best‑practice materials to support sustainability and performance.
• Provide strategic development across Club and Volunteer programmes, contributing to long‑term planning, continuous improvement, and the delivery of organisational priorities.

Additional Responsibilities

In addition to the primary objectives listed above, the Club & Volunteer Programme Manager will also be responsible for the following:

• Act as the primary point of contact between the Club & Volunteer development team, and Sporting Team to ensure clear, consistent communication.
• Identify opportunities to improve data collection across clubs and volunteer programmes, ensuring accurate, timely, and meaningful data is provided to the in‑house data analytics team to support insight, reporting, and continuous improvement.
• Support the planning and delivery of annual Club Workshops, working collaboratively to ensure content is relevant, engaging, and aligned with organisational priorities.
• Design, deliver and sustain the Young Officials and Cadet Marshal programmes, ensuring they are engaging, effective, and aligned with organisational priorities.
• Contribute to the development of seminar content, supporting learning and development initiatives for clubs, officials and volunteers.
• Support initiatives to increase marshal retention, helping to identify challenges, improve engagement, and promote volunteer retention across pathways.
• Support the delivery and ongoing development of volunteer recognition programmes, ensuring contributions are acknowledged and valued.
• Develop and maintain resources to support Officials and Marshals pathways, including online learning modules and guidance for Chief Marshals.
• Provide support to committees, contributing insight, resources, and administrative assistance as required.
• Support the implementation of new pathways, assisting with rollout, communication, and embedding of changes across the volunteer community.

Reporting to the HR & Operations Director, the HR Advisor will deliver a comprehensive end-to-end HR service, encompassing recruitment, onboarding, training, HR administration, employee relations and payroll.

The successful candidate will be a well-rounded HR generalist with a broad understanding across all areas of the HR function.

Primary Objectives

• To act as the primary point of contact and / or support at Motorsport UK for all Human Resource and people matters.

Sporting Assistant

The Sporting department at Motorsport UK plays a key role in facilitating a safe, fair, and fun experience for the motorsport community. This involves ensuring the governance and regulations of the sport are relevant and suitable, as well as reviewing the current landscape of participation, with a view to encouraging greater and sustained enjoyment.

The Sporting Assistantwill play a key role in supporting the day-to-day functioning of the Sporting department, placing a particular emphasis supporting the Circuit-Sport disciplines and specifically assisting with the successful management of Circuit Racing and the Speed Event Disciplines.

The team constantly measures the governance of the sport with a view to protecting fairness and safety of all participants. Sporting is proactive in reviewing, revising, and developing the current landscape of participation, with a view to encouraging greater and sustained enjoyment. The Team work with Safety and Sporting colleagues ensuring regulations are relevant, justifiable, and cost effective with a focus on development of discipline strategies.

Professional administration and support to the wider community, including a high-quality network of support to Clubs and Organisers, is essential to the long-term sustainability of the sport.

Primary Objectives

The primary objectives associated with this role will be:

1. Providing administrative, logistical, and organisational support to the Circuit-Sport Disciplines of the Sporting department.
2. To provide first class support to the Head of Race & Speed and the Sporting Managers (Speed).
3. The job content comprises administrative duties of a varied nature in support of the Organisation.
4. Developing, standardising, and documenting administrative, logistical, and organisational processes utilised in support of the Circuit-Sport disciplines.
5. Providing excellent customer service to licence holders, motorsport clubs, and the public as appropriate.

Additional Responsibilities

In addition to the primary objectives listed above, the Sporting Assistantwill be responsible for:

Customer Service:

• Liaising with members of the Motorsport UK community via various communication channels (inc. emails, telephone, letters) to ensure their needs and requirements are met.
• Including monitoring and responding to queries posted to the Race and Speed mailboxes.
• Dealing with correspondence and general telephone queries

Committees:

• Assisting with arrangements and preparations for Committee meetings including preparation of agendas and other associated paperwork, room reservations and diary appointments, meeting attendance for the purposes of producing minutes and regulatory proposals
• Booking flights and accommodation in support of the Head of Race & Speed

Championships:

• Assisting with the administration of the annual renewal process for Championships and Race Series. Administrative responsibility for the management of Championship Bulletin requests
• Assisting with arrangements and preparation for Control Panel meetings including preparation of agendas and other associated paperwork and attendance at meetings for the purpose of producing minutes
• Reviewing feedback received from Stewards reports and other reporting channels, ensuring actions are allocated to appropriate internal resources and that resolutions are provided in a timely manner, while also compiling licence penalties for statistical analysis
• Liaise with international motorsport governing bodies to support collaboration and alignment on regulatory matters
• Attending events with the Sporting Manager (Speed) and Head of Race & Speed (some weekend work may be required)

Clerks of the Course:

• Maintaining databases and records, issuing training documentation, and allocating mentors for new Clerks of Course in a timely manner
• Preparing documentation for Clerks of Course upgrading process and arranging assessments to ensure timely and efficient completion
• Support international series and national championship activities, including overseas visits where required
• Assist with the administration of Land Speed Record attempts, ensuring processes are followed accurately
• Maintain up-to-date team workload trackers and action logs, ensuring tasks are progressed, completed, or reassigned effectively in collaboration with the Circuit Sport Team and through meeting coordination
• Provide administrative and operational support across additional projects or areas as required.

Primary Objectives

The primary objectives associated with this role will be:

1. Providing administrative, logistical, and organisational support to the Sporting department with a particular emphasis on the Rally and Clubsport disciplines (Autotest, Cross Country, Trials), and the Competition Authorisation Office.
2. Assist with the administration and maintenance of Championship databases, issuing Championship permits, and liaising with championship stakeholders.
3. Working with the Sporting team to schedule, attend, and prepare agendas for meetings; take minutes and circulate actionable summaries.
4. Assist regulatory committees and panels with documentation and proposals.
5. Assist with creating and editing presentations and documents aligned with strategic goals.
6. Providing excellent customer service to Motorsport UK registered clubs, regulatory committees, and stakeholders as appropriate.

Additional Responsibilities

In addition to the primary objectives listed above, the Sporting Assistant will provide support and assistance for:

• Monitoring and responding to queries posted to the Rally and Clubsport mailboxes
• Dealing with correspondence and general telephone queries
• Reviewing feedback from Stewards reports and other reporting channels, and the allocation of any necessary actions to the appropriate internal colleagues for resolution
• Assisting and supporting the administration of Championship Regulations and Notice of Intents
• Provide support with the administration of Radio License renewals
• Provide administration support for the Competition Authorisation Office.
